GoHighLevel vs a Custom CRM: Which Should You Use?
GoHighLevel suits businesses that will use its texting, calendars, automations and AI tools every week, while a small custom CRM suits businesses that mainly need forms, a pipeline, reports and Meta events and would rather not pay a monthly platform fee. Both can send lead stages to Meta, so the choice comes down to which features you will actually use and who will look after the system.
I set up both, so I have no reason to push one. I am not affiliated with HighLevel or Supabase.
01 • the money
How much does GoHighLevel cost compared with a custom CRM?
| Cost | GoHighLevel | Custom CRM on Supabase |
|---|---|---|
| Platform | Starter $97, Unlimited $297, Agency Pro $497 a month (HighLevel pricing page) | Supabase Free $0 or Pro from $25 a month (Supabase pricing page) |
| Usage fees | Phone, SMS, email and AI are usage-based | Email or SMS services only if you add them |
| Setup | Configuration of the account | A one-off build of the system |
| Hosting | Included | Website host, often low cost |
Supabase's free plan pauses
Supabase's pricing page says free projects are paused after one week of inactivity. For a CRM you rely on, budget for the paid plan.
Prices change. Check both official pricing pages before deciding; they are linked in the sources.
02 • what you get
What does GoHighLevel do that a custom CRM does not?
GoHighLevel has built in
- Calendars and booking
- Two-way texting and calling
- Email marketing
- Workflow automations
- AI chat and voice tools (usage-based)
- Funnels and websites
- A Meta Conversion API workflow action
A custom CRM adds only if needed
- Texting and calling (via separate services)
- Email sending (via a service such as Resend)
- Booking (embed a calendar tool)
- Automations written for your exact process
- Meta events sent straight from your own server
03 • which fits
Which CRM fits my business?
| If you… | Lean towards |
|---|---|
| Text and call leads all day from one inbox | GoHighLevel |
| Want booking, reminders and follow-up sequences without code | GoHighLevel |
| Mainly need a lead list, a few stages and reports | Custom CRM |
| Want to own the code and data outright | Custom CRM |
| Have nobody to maintain anything technical | GoHighLevel (or a custom CRM with a care plan) |
| Need very specific fields, rules or reports | Custom CRM |
04 • meta events
Can both send lead stages to Meta?
Yes. GoHighLevel uses its Meta Conversion API workflow action, as described in GoHighLevel Conversions API setup. A custom CRM sends events from its own server code whenever a lead's stage changes, using the same Meta Conversions API. Either way, the rules are Meta's: daily sending, events no older than 7 days, and good customer details for matching.

05 • the custom option
What does a custom CRM actually include?
A custom CRM for a small service business is usually smaller than people expect. It does a handful of jobs well, built around how you sell.
- Website and landing page forms that save leads to your own database
- A private dashboard where your team sees and updates leads
- Pipeline stages that match your process
- Email notifications for new leads
- Meta Conversions API events on stage changes, sent from your server
- Simple reports: leads, bookings and wins by source and month
What it does not include unless you add it: two-way texting, calling, a booking calendar and marketing emails. Those come from separate services if you need them. Someone also has to look after it, which is why I offer an optional care plan for custom builds, priced on request.
06 • changing later
Can I start with one and switch later?
Yes. Many businesses start with GoHighLevel for speed and move to a custom CRM once they know exactly what they use, and some go the other way when they need texting and calendars. What makes switching easy is the same in both directions.
- Keep a lead source on every contact
- Keep Meta lead IDs and click IDs on contacts
- Use simple, stable stage names
- Export contacts and stage history regularly
- Keep your Meta dataset and event names the same after the move
Keeping the same event names in Meta after a switch means your reports and any optimisation continue without starting from zero.
07 • key terms
Which terms do I need to know?
Short, plain definitions of the terms used on this page.
| Term | What it means |
|---|---|
| CRM | The system where you store leads and track their sales stages |
| Pipeline | The list of stages a lead moves through in your CRM |
| Workflow | A GoHighLevel automation that runs when something happens |
| Conversions API (CAPI) | Meta's way for your server or CRM to send events directly to Meta |
| Lead stage | A step in your sales process, such as qualified, booked or won |
| Access token | A secret key that lets a system send events to your dataset |
08 • ownership
Who owns my data in each option?
In both cases the leads are your data. With GoHighLevel they live inside a rented platform: if you stop paying, plan how you will export them. With a custom CRM the database and code are yours, but you are responsible for keeping them running and backed up.
