How to Track Facebook Ads to Booked Calls
To track Facebook ads to booked calls, record a Schedule event when someone books, ideally on your own website, then send the call outcome and any payment from your CRM back to Meta with the Conversions API. The hard part is usually the calendar tool, because bookings made inside another company's widget are invisible to your pixel unless the tool sends them to your CRM or to Meta itself.
01 • the events
Which Meta events track a booked call?
| Step | Meta event | Meta's description |
|---|---|---|
| Application or enquiry | SubmitApplication or Lead | Applies for a product, service or program / a sign-up is completed |
| Call booked | Schedule | Books an appointment |
| Call attended | Custom stage, e.g. 'Call showed' | Sent from your CRM |
| Client paid | Purchase | Requires value and currency |

02 • the calendar problem
Why don't my calendar bookings show up in Meta?
Most scheduling tools show the booking widget inside a frame from their own website. Your Meta pixel runs on your page, not inside theirs, so it cannot see the moment someone picks a time. There are three ways around it:
- 1Use the calendar's own events. Some tools send a message to your page when a booking completes; your page can then fire Schedule with an event ID.
- 2Send bookings to your CRM. Most tools can notify your CRM (by webhook or integration). The CRM then sends Schedule to Meta through the Conversions API.
- 3Use a CRM calendar. GoHighLevel's calendars live inside the CRM, so a booking can trigger the Meta event directly.
Whichever route, keep the person's email and phone from the application, so Meta can match the booking to the ad click. See improve Event Match Quality.
03 • after the call
How do I track whether the booked call showed up and bought?
- 1After each call, mark the outcome in your CRM: showed, no-show, not a fit, or sold.
- 2Have the 'showed' stage send an event to Meta. It is often the best quality signal for coaches and consultants.
- 3When the client pays, send Purchase with the value, within 7 days of payment.
- 4Review weekly: applications, bookings, shows and sales by campaign.
Keep health details out
If you coach on weight loss or health, do not put body measurements, conditions or medication in event names, URLs or fields sent to Meta. See Meta's health and wellness restrictions.
04 • fewer no-shows
How do I keep the booking linked to the ad and reduce no-shows?
- 1Pass the application details (email, phone, click ID) into the booking step, so the booking lands on the same contact record.
- 2Send a confirmation straight away with the date, time and how to join or where to go.
- 3Send reminders before the call, with an easy reschedule link.
- 4Mark the outcome after every call, the same day, so the 'showed' and 'paid' events reach Meta within 7 days.
Reminders do not change what Meta can track, but they change what there is to track. A booked call that happens is worth far more than one that is forgotten.
05 • the weekly view
What should a booked-call report show each week?
| Measure | How it is worked out |
|---|---|
| Applications | Count by campaign and ad |
| Booking rate | Bookings ÷ applications |
| Show rate | Calls held ÷ calls booked |
| Close rate | Clients ÷ calls held |
| Cost per booked call | Ad spend ÷ bookings |
| Cost per client | Ad spend ÷ new clients |
Your CRM can produce this if every lead keeps its campaign and every stage is updated. Meta's reports will show part of it; your own report shows all of it, including sales that happen outside Meta's attribution window.
06 • key terms
Which terms do I need to know?
Short, plain definitions of the terms used on this page.
| Term | What it means |
|---|---|
| Schedule | Meta's standard event for booking an appointment |
| Event | A recorded action, such as Lead, Schedule or Purchase |
| CRM | The system where you store leads and track their sales stages |
| Conversions API (CAPI) | Meta's way for your server or CRM to send events directly to Meta |
| fbclid / fbc | The click ID Meta adds to ad links, and the cookie that stores it |
| Event Match Quality | Meta's score out of 10 for how well an event's customer details can be matched |
07 • not just coaches
Does this work for service businesses, not just coaches?
Yes. A roofer's inspection, a venue's tour, a gym's first visit and a solar consultation are all 'booked calls' in tracking terms. The same pattern applies: Schedule when booked, a CRM stage when it happens, Purchase when they pay. See the niche tracking pages for examples.

questions
Frequently asked questions
01. What event should a booked call be?
+
Meta's standard Schedule event, which it describes as a person booking an appointment.
02. Why can't my pixel see bookings in my calendar widget?
+
Because the widget usually runs on the scheduling tool's own page inside a frame. Use the tool's events, a CRM integration or a CRM calendar.
03. Should I send no-shows to Meta?
+
Usually not as an event. Send the stages you want more of, such as showed and paid.
04. Can I track calls booked by phone?
+
Yes, if your team logs them in the CRM with the lead's details. The CRM then sends Schedule through the Conversions API.
