HVAC Facebook Ads Tracking with the Conversions API

HVAC tracking works best when repair calls and replacement enquiries are tracked as two different journeys, because a same-day repair and a new system sold after a home visit are very different results. I set up the events for both, send booked visits and sold systems from your CRM back to Meta, and report them separately so each campaign is judged on the right outcome.

01 • two journeys

Why do HVAC leads need two different tracking paths?

A homeowner with no heat wants someone today, and usually calls. A homeowner thinking about a new heat pump fills in a form, books a home visit, compares quotes and decides later. If both are counted as one 'lead', a campaign full of cheap repair calls can look better than one that sold three new systems.

02 • replacement leads

How is an HVAC replacement lead tracked from ad to sale?

Event flow • hvac replacement

  1. 01

    Ad + form

    Asks about a new system.

  2. 02

    Qualified

Owner, in your area, real need.

  3. 03

    Home visit

    Comfort assessment booked.

  4. 04

    Quote

    Options and price given.

  5. 05

    Sold

    System sold, with the value.

The home visit is usually the best quality signal: it happens quickly and only serious buyers book one.

Meta's Conversions API for CRM guidance asks for a target stage reached within 28 days and converting between 1% and 40% of leads. A booked home visit usually fits; the final sale sometimes does and sometimes does not, depending on your market.

03 • phone calls

How do I track HVAC phone calls from Meta ads?

Meta's Pixel reference includes a standard event called Contact, for 'when a person initiates contact with your business via telephone, SMS, email, chat, etc.' A tap on a call button can be recorded as Contact. Whether that call became a booked job is a CRM fact, and can be sent later as a stage.

  1. 1Record a Contact event when someone taps your phone number on the landing page.
  2. 2Log every call in your CRM with the source, even if you do it by hand.
  3. 3When a job is booked from that call, move the lead to 'Job booked', which sends the event to Meta.

04 • seasons

How does seasonality affect HVAC tracking?

  • Heating and cooling peaks change both lead volume and lead type. Keep repair and replacement leads in separate pipelines or tags so the mix does not hide what is working.
  • In busy weeks stages fall behind. Meta rejects events sent more than 7 days after they happened, so set a daily habit (or automation) for updating stages.
  • Maintenance plan sign-ups are a third journey worth tracking separately, with the plan value.

If your website still promotes federal tax credits for new systems, check the current rules first: the HVAC website must-haves page explains the 2026 change.

05 • keep it clean

Which HVAC leads should never be sent to Meta as ad results?

HVAC companies talk to many people who did not come from ads: existing maintenance customers, warranty callbacks, referrals from builders and repeat clients. If those are sent to Meta as wins, campaigns look better than they are and Meta learns from the wrong people.

  • Warranty and callback visits: keep them out of ad events entirely.
  • Existing maintenance plan customers booking their routine visit: not a new lead.
  • Builder and property manager referrals: track the source, but do not send as ad results.
  • Only send stages for leads whose source is a Meta ad, a Meta instant form or a click carrying Meta's click ID.

A required 'lead source' field in your CRM, set when the lead arrives, makes this automatic: the workflow that tells Meta about a stage change simply checks that field first.

06 • what i set up

What does an HVAC tracking setup include?

HVAC setup
  • Separate repair and replacement pipelines (or tags) in your CRM
  • Contact event for call taps, Lead for forms, deduplicated across pixel and server
  • Job booked, home visit booked and system sold events from the CRM, with values
  • Maintenance plan sign-ups tracked as their own event
  • A weekly report by campaign and journey type

questions

Frequently asked questions

01. Should repair and replacement leads be tracked separately?

+

Yes. They have different values and timelines. Mixing them makes it impossible to judge which campaigns actually sell systems.

02. Can a phone call be a Meta event?

+

A call-button tap can be recorded as Meta's Contact event. Whether the call became a job is sent later from your CRM.

03. What should HVAC companies optimise for?

+

Often a booked home visit for replacement campaigns, because it is fast and only serious buyers book one. Your own data decides.

04. Do maintenance plans count?

+

Track them as their own event with the plan value, so they do not get mixed up with one-off jobs.
